Collecting media with Upload Link

The Upload Link feature is the easiest and quickest way to collect media from suppliers, colleagues, clients, and other stakeholders.

Upload Link lets you invite external users to upload files directly into your MediaLab account, without giving them access to any of your existing media. Files uploaded through the link will automatically appear in the folder you've selected. Recipients can only upload — they cannot browse, view, or interact with anything else in your library.

  1. Navigate to the folder where you want to receive the uploaded files.
  2. Click the three-dot menu (⋯) on the folder.
  3. Select Upload Link from the options.
  4. In the To field, enter the email addresses of the people you want to invite.
  5. Optionally edit the Subject and Message to personalise your invitation.
  6. Click Send email to send each recipient a personal upload link.

Note: The Target folder on the right side of the dialog shows where uploaded files will be saved. You can adjust this before sending if needed.

Before clicking Send email, you can click Show link instead to generate the upload link directly. This allows you to:

  • Copy the link to share it manually via any channel.
  • Generate a QR code for easy sharing in print or presentations.
  • Open the link to preview exactly what your recipients will see when they receive the invite.

Note: The Show link option is only available before sending. Once you click Send email, the link is distributed and this option is no longer accessible from that dialog.

If you want to share a single link with an unlimited number of people rather than sending individual emails, check the Create signup link option at the top of the dialog. We recommend this option, as it allows you to track exactly who has uploaded something — which is typically the most useful for managing incoming media.


Keep in mind that signup links have a limit of sign-ups depending on your package. If you reach this limit you will receive an error message, please contact us and we can look into expanding your MediaLab package.


If tracking individual uploaders is not a requirement, you can also use a public share link instead. This places no limit on the number of uploads, but does not record who specifically uploaded each file.

Configuring Upload Settings

Before sending, you can fine-tune the upload experience using the settings on the right side of the dialog:

  • Maximum number of files — Limit how many files a recipient can upload in a single session, or leave it set to No limit.
  • Maximum size — Set a cap on the total upload size in GB, or leave it unrestricted.
  • Receive notification — Toggle this on to get an email alert when someone uploads files via your link.
  • Expires in — Set how long the link remains active (default is 30 days).
  • Allow folders — When enabled, recipients can upload entire folder structures, not just individual files.

Note: You need sufficient folder permissions to create an Upload Link. If you don't see the option in the three-dot menu, contact your MediaLab administrator.
